How to plan and organize your class party
-
Creating a class party -
To do so, you will need to register an account with class-party.com. Don't worry, we respect your privacy and will never share your information with 3rd parties.
Registering with the website is simple, as we require very little information. Once you have registered, you can create a new class party from the main menu. Enter the name of the
class party, the class name, teacher name, the time and date of the party, allergy information, room parents, etc. Enter as much or as little as you need.
-
Add invitees to your class party -
Enter the people you are inviting to this party using the "Invitees" module.
These people will also have the opportunity to volunteer to bring items or volunteer for overseeing games or activities. There are multiple ways to enter your class party participants.
You can enter them using the "Quick Add" interface, which just requires email addresses. Or you can enter your invitees one at a time. Either way you will have the opportunity to
enter names for those email addresses. There is also a way to add "information only" recipients to your class party. The purpose is just to inform these people about the progress of
your class party. A practical use for this may be a principle, school nurse, or teacher.
-
Add food or other items to your class party -
Enter the items you will need for the party using the "Items Needed" module. For instance, you might enter "32oz Bag of Potato Chips" and a quantity of 14.
When your invitees get their invites, they will have the opportunity to bring any number of the items you need for the party. It's important to break apart your items into smaller chunks
so your invitees will be compelled to volunteer. For instance, entering "24 bags of 32oz Potato Chips" with a quatity of 1 will be difficult for one person to manage.
-
Add food or other items to your class party -
Enter the activities you will have at this party using the "Activities" module. For instance, you might enter "Inflatable Slide" from times 7:00 PM till 8:00 PM.
Or "Fishing for Candy" from 6:00 PM till 7:00 PM. If your activities will go longer, you can add more of the same activities to cover the various time slots.
Keep in mind it's easier to get someone to commit to 30 minutes or an hour as opposed to 2 or 4 hours.
-
Entering previous commitments -
If people have already committed to volunteering for certain activities or bringing food or other items to your party, you can add them yourself from the "Items Needed" and "Activities" module.
This is also useful for parents who commit to bringing items or volunteering their time is passing.
-
Sending invitations -
When you have everything set up the way you want and you are ready to notify people about your party, you can send invitation to all of the people you invited.
Go to the "Email Manager" module and click the "Send Now" button which will send an email blast of your party to the people you invited.
You can also schedule a date for the system to automatically send out the email invitation to your invitees.
Normally the organizer will send out an email blast at the beginning, and then send out a few more blasts when you get closer to the actual party date.
